1. Acceptance of Terms
By registering for, accessing or using the SMP-Elite Student Information System (the "System"), you agree to be bound by the following terms and conditions. If you do not agree with any part of these terms, please do not use the System.
These terms apply to all users, including school administrators, teachers, clerks, students and parents/guardians.
2. Definitions
- SMP-Elite — the Student Information System developed and operated by MJ Solutions (SA0109255-M).
- Tenant — a school or educational institution registered in the System.
- User — any individual who accesses the System through a valid account.
- Core — the base modules included in every plan: Dashboard, Student Management, Class Management, Import Data, System Settings and Cikgu AI.
- Add-on Modules — modules that can be subscribed to on top of Core, individually or through the Basic or Full plan: Attendance, Exams, Timetable, Payments & Fees, Discipline, Messages, Activity Log, Class Promotion, Lesson Plans, Homework, Management Reports and e-Invoice.
3. Account Registration
To use SMP-Elite, a school must register through the online registration form. During registration:
- The information provided must be accurate and complete.
- Each school will receive one main administrator account.
- A unique school code will be generated automatically by the System.
- The administrator is responsible for managing other users (teachers, clerks, students) within their school.
3A. Account Activation & E-mail Verification
Self-service account activation (parents, students, staff) requires identity verification and e-mail verification through an OTP code. Users are responsible for ensuring that the e-mail address they provide is their own and up to date. OTP codes are confidential and must not be shared. Suspicious activation attempts are recorded and may be blocked.
3B. One Trial per Institution
The free 30-day trial (and one 30-day extension that may be requested) is provided ONCE only for each institution, identified by its institution code (KPM, JAIN, KEMAS or SSM) and/or other reasonable identification. An institution that has already used a trial is not eligible to register a new trial account, whether under a different name, e-mail address, telephone number or administrator. Registrations we consider to be repeat trials may be held for review or rejected, and the institution will be invited to choose a paid plan or reactivate its original account. By registering, you confirm that the registration information provided is true. We may compare an institution's registration information (name, code, address, postcode, and the registrant's e-mail and telephone number) with previous trial records for this purpose only. We do not compare the personal data of students or parents between institutions. During the trial, online payment by parents is not available, Cikgu AI is limited, and printed documents are marked TRIAL.
This clause takes effect on 23 October 2026.
4. Use of the System
Users agree to:
- Use the System for lawful school management purposes only.
- Keep their passwords confidential and not share their accounts with others.
- Not misuse the data of students, staff or parents.
- Not attempt to access the data of other schools or modules that have not been subscribed to.
- Report any suspicious activity or security breach to the administrator or to MJ Solutions.
- Not use the System for any purpose that is unlawful under Malaysian law.
5. Roles and Permissions
SMP-Elite uses role-based access control (RBAC). Each role has its own access limits:
- Administrator (Admin) — full access to all of the school's modules and settings.
- Clerk — management of students, classes, fees and administrative records.
- Teacher — attendance entry, exam marks and communication with parents (according to assigned duties).
- Student — limited access to the dashboard, results and timetable.
- Parent/Guardian — viewing of their own children's attendance, exam results, fees and discipline only.
6. Modules and Subscriptions
SMP-Elite uses a module-based model:
- Core is included in every plan (Dashboard, Students, Classes, Import Data, Settings and Cikgu AI). New schools receive a 30-day trial with all modules. When a trial ends without a subscription, or after a subscription ends and the grace period has passed, the account switches to read-only mode: data is not deleted and can be exported; full access is restored immediately when a subscription is activated, subject to the retention periods in the Privacy Policy.
- Prices follow the pricing page (Core, add-on modules, and the Basic and Full plans). Yearly payment is 10 times the monthly price for 12 months. Schools with 1,000 or more active students pay the large school rate (all prices × 1.5). Existing paying customers keep their locked prices until 31 December 2027. This clause takes effect on 23 October 2026.
- Add-on modules and plans are subscribed to monthly or yearly. Price changes will be notified through the System or by e-mail; existing paying customers keep their locked prices until 31 December 2027.
- A subscription starts on the activation date and ends on the date set.
- When a module subscription ends, the account becomes read-only for that scope; data is not deleted and can be exported.
- Payments made are non-refundable once a module has been activated.
7. Data and Ownership
Data entered into the System is the property of the respective school. MJ Solutions acts only as the platform provider and:
- Claims no rights over school data.
- Will not sell or share data with third parties for commercial purposes.
- Keeps each school's data separate (multi-tenant isolation) — school A cannot access school B's data.
- Provides data export (CSV) for certain modules.
7A. PDPA Roles: Data Controller and Data Processor
For the purposes of the Personal Data Protection Act 2010 (Act 709):
- The school as Data Controller (Data User) — The school determines what personal data is collected and for what purposes, and manages the data of its students, parents and staff in the System. The school is responsible for obtaining the necessary consent from data subjects and for complying with the PDPA obligations that apply to data users, including registration with the Personal Data Protection Department (JPDP) where applicable. Government institutions are generally exempt from Act 709, while private educational institutions are subject to the JPDP registration requirement.
- MJ Solutions as System Provider / Data Processor — MJ Solutions only supplies the software and servers. We process personal data solely on behalf of, and on the instructions of, the school, and do not determine the purposes or means of processing that data.
- Our commitments as a processor — We comply with the PDPA Security Principle through reasonable technical and organisational measures (separation of each school's data, role-based access control, audit trails and regular backups), do not use the data for any purpose other than providing the System, and do not sell or share the data with third parties for marketing purposes.
- Data processing clause — These terms also serve as a data processing agreement between the school (controller) and MJ Solutions (processor) for the purposes of the security and handling of personal data.
8. Activity Log and Audit Trail
SMP-Elite records user activity for security and accountability purposes:
- All POST actions (add, edit, delete) are recorded automatically.
- Records include: the user, time, IP address, module and data changes (old and new values).
- Administrators can view the activity log through the Activity Log module (PRO).
- Logins and logouts are recorded for all users.
9. Class Promotion and Placement
The Class Promotion module (PRO) lets schools manage students moving up a class. This module requires an active subscription and includes:
- Manual placement — the administrator assigns new classes one by one.
- Bulk Move — move all students from one class to a new class at once.
- Clone Class Structure — copy the class structure to a new academic year.
- Auto placement — the System suggests placements based on exam performance.
- Review and override — teachers/administrators can change the suggestions before they are finalised.
- Once finalised, class changes cannot be undone through the System. Contact the administrator for corrections.
- Students' placement history is kept for reference.
10. System Features and Functions (As-Is)
SMP-Elite is provided on an "as-is" basis. Users agree to accept the features and functions provided in the current version without any guarantee that they meet every specific requirement of the school.
- All features and functions available in the current version are final for that version.
- Requests for additional, modified or customised features cannot be implemented in the current version.
- Suggestions for improvement from users are welcome and will be considered for future versions of SMP-Elite, subject to development priorities.
- MJ Solutions does not guarantee that any suggestion submitted will be implemented in any future version.
- System version updates (including new features, bug fixes and improvements) will be carried out according to the schedule set by MJ Solutions.
10A. AI Assistant (Cikgu AI)
The System provides an AI assistant ("Cikgu AI") that generates answers automatically. AI answers are for guidance only and may not be fully accurate — users are responsible for verifying important information before acting on it. Interactions with Cikgu AI are recorded for audit, security and service improvement purposes. AI processing is carried out entirely on our own infrastructure.
10B. Fair Use of Cikgu AI
Cikgu AI is subject to fair use: a per-minute request limit for each school and a daily limit for each user. During the trial, the daily limit is lower. We may adjust these limits to keep the service stable for all schools and will give notice of significant changes.
11. Service Availability
We strive to keep the System available 24 hours a day, 7 days a week. However:
- We do not guarantee uninterrupted availability.
- Scheduled maintenance may be required and will be announced in advance where possible.
- We are not responsible for disruptions caused by factors beyond our control (natural disasters, internet outages, cyber attacks).
12. Limitation of Liability
MJ Solutions is not liable for:
- Any loss arising from the use of, or inability to use, the System.
- Loss of data caused by user negligence (for example, accidentally deleting data).
- Unauthorised access by third parties resulting from a user's failure to keep their password safe.
- Decisions made based on data or reports generated by the System.
13. Account Termination
- A school may request termination of its account at any time by contacting MJ Solutions.
- MJ Solutions reserves the right to suspend or terminate accounts that breach these terms without notice.
- After termination, data will be kept for 30 days for recovery purposes before being permanently deleted.
14. Changes to the Terms
MJ Solutions reserves the right to change these terms from time to time. Users will be notified of important changes through the System or by e-mail. Continued use after a change is taken as acceptance of the updated terms.
15. Governing Law and Jurisdiction
These terms are governed by the laws of Malaysia, including the Personal Data Protection Act 2010 (PDPA). Any dispute will be referred to the jurisdiction of the Malaysian courts.
