For principals, owners and clerks of private schools

Private school management system in one login

SMP-Elite is a private school management system for primary and secondary schools, private religious schools and small international schools in Malaysia. The clerk registers students and collects fees with official receipts, teachers record attendance and marks, guardians receive messages, and the owner reads reports from the same data. Try it for 30 days, no credit card.

No contract · No credit card · Your data stays even if your subscription ends

Everyday school work

What does a private school need to manage every day?

A private school carries the same workload as any other school, but usually with fewer clerks and an owner who wants to see the real numbers. As pupil numbers grow, the Excel lists, attendance books and WhatsApp groups stop matching each other. SMP-Elite brings that work into one web system:

  • Student administration. Student and guardian records, class arrangement, and Data Import from Excel when the school moves away from the old way of working.
  • Attendance. Teachers record class attendance from a computer or phone, and classes not yet recorded are easy to spot.
  • Exams and result slips. Marks, grades, rankings and class averages, with results guardians can view.
  • Fees and official receipts. Counter collection, online payment and an arrears list.
  • Parent communication. Messages to guardians and an Android app for teachers and guardians.
  • Reports for the owner. Management Reports cover attendance, exams, finance and discipline.

The six core modules (Dashboard, Students, Classes, Data Import, Settings and Feed) and Cikgu AI come with every plan. Modules such as Fees, Attendance, Exams, Messages, Timetable, Discipline, Class Promotion, Homework and Lesson Plans are PRO modules chosen by plan.

Why a separate system

Can the Ministry of Education systems such as SPS be used by private schools?

When people search for a school management system, the results often point to Ministry of Education (KPM) systems. SPS is the KPM system for government schools, and it was built for that need. That is not a shortcoming, it just has a different target.

Private schools keep their own student, fee and exam records, and have to choose their own tools. That is where SMP-Elite fits: a separate system owned and configured by the school, with the fees, receipts, bank accounts and class names the school decides. Reporting requirements to KPM or your state education department still follow your school's own obligations, so check with the relevant office.

For a list of features to look for before choosing, read the guide to private school and tahfiz management systems (BM).

Fees and receipts

How are fees and official receipts handled in one system?

Fees draw the most questions from guardians and are the easiest thing to get wrong when worked out by hand. In SMP-Elite:

  • Official receipts with your own numbering. The school sets the format. Receipts cannot be deleted and can only be cancelled with a reason, and they can be printed or sent by WhatsApp and e-mail.
  • Partial payments. Money is applied to the oldest fee first, and the receipt shows the balance.
  • Online payment. Guardians pay by FPX through ToyyibPay or CHIP, straight into the school's own merchant account. Transaction charges depend on the school's agreement with the provider.
  • An arrears chase list with messages you can send to guardians.
  • Separate bank accounts. Certain fees, such as a PIBG account, can be kept apart from the main account in reports.
  • Exemptions approved by an administrator, plus reports, CSV export and an audit log.

Teachers, guardians and owners

How do teachers, parents and school owners see the same information?

Everyone sees data according to their role. The admin runs the whole school, the clerk handles students, classes and fees, teachers record attendance and enter marks for their own classes, and students and guardians only see their own records or their own child's.

  • Teachers enter attendance and marks, and see their own classes only.
  • Guardians receive messages and check fees and their child's results through the web portal or the Android app.
  • Owners and principals read Management Reports on the web, without waiting for a clerk to copy numbers into Excel.

Cikgu AI lets users ask questions in everyday language and get tables or charts from the data their role allows. It runs on our own servers in Malaysia.

Moving from Excel

Is it hard to move from Excel and record books?

There is nothing to install on a school server. Everything is done in a web browser:

  • Register the school with a name and e-mail, then verify with an OTP code.
  • Import the student and guardian list from a CSV file. The system checks the rows before saving.
  • Arrange classes, invite teachers, then set the fee items and bank accounts.

If you get stuck at any step, WhatsApp the developer for help. The data stays the school's and can be exported to Excel at any time. Also read about when Excel is no longer enough (BM) and what schools must know about PDPA and student data (BM).

e-Invoice

How does a private school prepare e-Invoices from fee receipts?

Whether your school must issue e-Invoices depends on the institution's annual turnover, and school fees are subject to specific rules. Please confirm with LHDN or your tax adviser first.

If the school needs them, the SMP-Elite e-Invoice module can generate MyInvois-format e-Invoices from fee receipts. It is an add-on at RM40 a month, needs the Fees module, and is not part of the Full plan or the trial.

More in the e-Invoice guide for private schools, tahfiz and kindergartens (BM). It is an education guide, not tax advice.

How much does a private school management system cost?

The Core plan is RM79 a month, Basic RM199 and Full RM299. Pay yearly for 10 months only. Schools with 1,000 or more active pupils pay 1.5 times these prices. The 30-day trial uses the Full plan with no credit card and no contract.

Can a private school use the Ministry of Education's SPS?

SPS is the Ministry of Education's system for government schools, and it works for that purpose. Private schools usually keep their own student, fee and exam records, so they need a separate system. SMP-Elite is separate from the Ministry's systems. For reporting to the authorities, please check with the Ministry or your state education department.

Can we move our student list from Excel?

Yes. Download the template in the Data Import module, fill in the students and guardians, save it as a CSV file and upload it. The system checks each row before saving. If you need help, WhatsApp us and the developer will reply personally.

Do parents need to download an app to check fees and results?

Not required. The web portal works on any phone, and the Android app for teachers and guardians is an optional extra.

Do private schools need e-Invoices, and what does SMP-Elite offer?

It depends on the institution's annual turnover, and school fees are subject to specific rules. Please confirm with LHDN or your tax adviser. The e-Invoice module is an add-on at RM40 a month that generates MyInvois-format e-Invoices from fee receipts, and it needs the Fees module.

Who owns our school's data?

The data stays the school's, is stored on servers in Malaysia and is built to comply with PDPA 2010. There is no contract, and your data stays even if your subscription ends. You can export to Excel at any time.

Is it suitable for private religious schools or small international schools?

The core admin work is the same: students, classes, attendance, exams, fees and guardian messages. The school sets its own class names and fee items. SMP-Elite has no memorisation or recitation module. For tahfiz maahad and pondok, see the dedicated tahfiz page.

What is included in the 30-day trial?

Every Full plan module, with no credit card and no contract. The e-Invoice module is not part of the trial.
